What types of documents are needed to travel?
All international destinations now require a Passport Booklet. Applying for a passport can take 4-8 weeks to process, so don't delay. If you already have a passport booklet then your passport must still be valid for at least 6 months prior to your return date from your destination (Meaning the expiration date listed cannot expire within 6 months of your trip's return date from Bahamas or Cancun). *Non-U.S. citizens should contact their local consulate for documentation requirements. Go to www.travel.state.gov/content/passports for detailed information on how to apply for a passport and what travel documents are required. You will be denied boarding if you do not have the proper proof of citizenship and/or the legal name listed on your valid passport doesn't match the name you have listed on your GradWeek traveler account for your E-ticket.
When will I know my travel dates?
Travel dates are based on your school's spring break dates, so first ISTours Spring Break will have to confirm your school's dates. You will find a TENTATIVE trip date on your invoices. Assignment of your group's exact flights and travel dates are decided after the final payment deadline (1/27/17), once ISTours Spring Break knows the exact number of students that have confirmed & paid-in-full. We use popular scheduled airlines for our trips and our priority is to keep your entire group together on the same flight. You can check your online traveler account anytime at www.istspringbreak.com for trip updates and to view your trip itinerary with departure location and times in February 2017.
Now that I am registered do I need to make monthly payments?
YES. As per Terms & Conditions, minimum monthly payments are mandatory to keep your account in ACTIVE status, lock in the current price at time of registering and to help pay your trip balance down before January 20, 2017, the final payment deadline. Failure to do so may result in your account changing into an unconfirmed Pending status, incurring late fees and possible cancellation, requiring you to reinstate based on availability and pay an additional $40 reinstate fee. If your account falls into unconfirmed Pending status, IST Spring Break is no longer holding a spot for you on the trip and your trip package is subject to any price increases that may have accrued from date of registering. If you pay using a credit or debit card, there is a one-time non-cash transaction service fee of $19.00 ‘per traveler account' for the first c/c payment made on your account.
When is my trip balance due and do I really need to pay it by the due date?
Your balance MUST be paid into your account NO LATER THAN JANUARY 20, 2017, regardless of when you registered! There are absolutely NO extensions or exceptions to this deadline! DO NOT postmark any payment, they are not accepted and are considered late. If your traveler account doesn't reflect a $0 balance by end of business day on January 20th, our system will automatically cancel you from the trip and cancellation penalties will apply. If your final payment arrives after 1/20/17, you can choose to reinstate your cancelled account, but an additional $40 Late Fee will be required and you will be placed onto a Waitlist until Air Seat and/or Hotel Rooming availability can be determined (trip placement is NOT guaranteed), and process can take up to 2 weeks. If no trip space is available for Flight and/or Hotel you can request to cancel from Waitlist and the amount paid to be added to the Waitlist will be refundable.
Do you allow co-ed rooms?
If you need to cancel from your trip, you'll need to do the following: All cancellations and/or requests for refunds (if applicable), must be submitted in writing by either mail, email or fax to the IST Spring Break corporate office. No refunds will be issued from verbal communications or cancellations given to a group organizers. It is the participant's obligation to ensure their written cancellation notice is received by IST Spring Break. To protect the participant, mailed cancellations should be sent with a Return Receipt Requested. For emailed cancellations, a read receipt should be requested. For faxed cancellations, keep confirmation of transmittal. Notice of trip cancellation must include name of participant and account/traveler ID number that corresponds to the registration. Keeping in mind cancellation penalties and deadlines apply. Please refer to IST Spring Break Terms and Conditions for fees, cancellation penalty schedule and details.
How do I select my roommates & what happens if I don't have enough?
Following the final payment deadline your group will be able to select their roommates from the list of ‘Active' travelers in the roommate section of their online account. It is each traveler's responsibility to make sure they have a roommate, to select people they will get along with and to have the required amount of travelers in their room. If you fail to select available roommate(s) through your online traveler account by the February 1st deadline, our system will automatically room you randomly. If roomed automatically, IST Spring Break is not be responsible for any additional rooming charges that you can accrue, nor the roommates that you end up with. Once final rooming is completed (February, year of travel), and your room does not meet the required number of travelers per room, you and your roommates (if any) will be re-invoiced for any incurred hotel occupancy fees that must be paid by February 28, 2017. If requested in writing (email), IST Spring Break, will try to assist you in finding roommates (additional roommate(s) not guaranteed) in your group, but IST Spring Break is NOT responsible for filling rooms. Your account is not considered "Paid In Full" until all rooming is complete. Trip pricing is based on 4 travelers per room (unless noted otherwise). In order to receive your Departure Packet (trip documents - flight e-ticket/itinerary, etc., sent by standard U.S.P.S. mail) prior to your trip date, your account must have a $0 balance.
Do you allow co-ed rooms?
Travelers wishing to have co-ed roommates must have an authorized IST Spring Break Permission Form signed by all occupants in that room, regardless of age. IST Spring Break does not assign co-ed roommates unless the required, signed permission form is completed in full and received in our office by email no later than 2/1/17-Rooming deadline. Co-ed or not, all travelers will still need to have the required number of students in their room to avoid incurring an additional hotel occupancy fee.
What happens if I get sick or injured while on the trip?
Included with your IST Spring Break trip package, is a Primary Medical Insurance that covers sickness and accidents for up to $5,000 and up to $10,000 Med-Evacuation Insurance. If you end up needing medical assistance while on your trip, be prepared for possible out of pocket expenses if the physician doesn't accept your current provider. If they don't accept your insurance you must keep all receipts for your medical visit and you'll need to submit them to Travel Insured International for reimbursement after your trip. IST Spring Break also recommends that travelers purchase our low cost ‘optional' travel protection plan to help cover for trip cancellation, due to medical reasons, trip interruption/delays, lost or delayed luggage, and more. How much spending money is recommended and what is the best way to take it?
U.S. currency is accepted at most destinations. However, this does not necessarily mean that you will get the best exchange rate. You should take a small amount of cash and if you are planning to use a credit or debit card please check with your bank first, prior to travel for details on restrictions and/or fees. Depending on your destination and what's included in your trip package, we highly recommend you budget anywhere between, $300 to $600 for activities/tours, shopping, transportation and meals (if you're not registered at an all-inclusive hotel). Getting around is typically done by Taxi so plan to have cash on hand for that and traveling in groups is the safest and most economical way to go.
Are there any other fees I should know about?
Current departure taxes and fees, ‘optional' trip protection insurance, as well as hotel security deposits, are listed on our travel brochures, if applicable. Please review your brochure's pricing sheet for details. All pricing is based on quad occupancy (4 in a room, unless noted otherwise) for most destinations and are "Run of House" (standard) availability, (unless otherwise specified) and travelers are responsible for finding their own roommate(s). Should one of your roommates drop out of the trip, you are still responsible for finding a replacement or paying the additional hotel occupancy fee.
Are there any meals, events or activities included in the package?
If you registered for an all-inclusive hotel package, your food and drinks are included at your hotel property. Package details and inclusions will be provided to you 2-3 weeks prior to your trip date inside your Departure Packet.
What do I do when I arrive at the hotel or if I need assistance on-site?
When you arrive at your registered hotel you'll need to go the front desk and check-in. Once you've checked into your room, we strongly recommend you use your in-room safety deposit box to store your travel documents (flight itinerary, passport, DO NOT take out with you), cash and valuables including cell phones, cameras, etc. When valuables are not being used, ensure that they're securely locked at all times in your room's safety deposit box. Room doors should never be left open and unsecured. If you have purchased the additional trip protection insurance, please be aware that it DOES NOT cover you for loss of personal items such as Cell Phones. ANY incidences of theft MUST be reported to the hotel first and they will assist with any local authorities if theft or loss occurs, IST Spring Break are not responsible for the cost of any cell phone replacements. We recommend bringing your state issued picture ID card for identification when going out and leaving your passport in the safety deposit box. Take a few minutes to check that everything in your room is in good shape and in good working order. Please contact the Hotel's Front Desk personnel immediately if you see anything broken, damaged or not working properly, to ensure you will not be held responsible for pre-existing damaged items. We ask that you do NOT call the corporate office with concerns you may have while on-site, only hotel staff are in a position to immediately assist – you should go directly to the front desk if you have any concerns with your stay.
